Corporate seating is a protocol problem

A company dinner looks simple from the outside: rounds of ten, a stage, a list of names. The work is in the rules nobody writes down.

The CEO sits with the two most important clients. The regional leads are spread across the room so every table has a host. The sponsor who paid for the evening sits where the photographs are taken. Two attendees from competing firms are never at the same table.

PlanSeats Pro lets you write those rules down once, apply them to the attendee list, and see the room they produce, instead of holding them in your head while you move names around a slide.

From registration export to a seated ballroom

  1. 1

    Start from the room

Open the hotel ballroom you set up last quarter, or upload the venue’s floor plan and place the stage, the screens and the rounds to scale.

  2. 2

    Import the attendees

Bring in the registration export and map a column, such as company, region or team, to each attendee’s category.

  3. 3

    Write the protocol

Tag the host tables and the sponsor tables, then add rules: these two together, those two apart, this category to those tables.

  4. 4

    Draft, then adjust

Auto-assign builds a first seating from your rules and shows it before applying it. Move the exceptions by hand.

  5. 5

    Hand it to the venue

Export the chart for the banquet team, meal counts and a dietary report for the kitchen, and place cards for the tables.

Built for the planner who runs the whole calendar

Client dinners, awards nights, conference banquets and board dinners, all in one workspace.

Rules and table tags

Seat together, keep apart, and send a category to tagged tables. A move that breaks a rule is flagged before the chart goes out.

Reusable venue layouts

The hotels and restaurants you book again are saved as rooms, so the next event starts with the tables already placed.

Every event in one place

The command center lists each upcoming event with its date and status, so this week’s dinner and next quarter’s conference sit side by side.

Your team on the account

Add colleagues as admins or assistants. One seat is included; each additional seat is billed separately.

Stakeholders without accounts

Send a view-only link to the executive assistant, the venue or the agency. They see the current plan and cannot change it.

Reports the venue asks for

Meal counts, a dietary report with allergies flagged, a staff layout of the room, and printable place cards.
