How it works

How to make a wedding seating chart in PlanSeats

Lay out the room, bring in the guest list, seat everyone and share.

1Lay out the reception

Start from a wedding template (round tables, banquet rows, a head table or a sweetheart table) or upload the venue's floor plan and place tables on it. Not sure how many tables you need? The wedding table calculator tells you.

2Bring in your guest list

Import the spreadsheet you already have, or track RSVPs and meals in PlanSeats so only confirmed guests appear on the chart. Tag guests by side and group: bride's family, groom's college friends, kids, plus-ones.

3Seat everyone, then share

Drag guests to seats or auto-assign by tag, then hand-place the head table. Share a co-editing link with your partner or planner and a view link with the venue. Print escort cards, the seating chart sign and the guest list when you are done.

Wedding-specific

Built for the parts of wedding seating that are hard

Head table and sweetheart table

Templates for both, with the wedding party seated in order.

Plus-ones and couples stay together

Link guests so auto-assign never splits a couple or a family with young kids.

Groups and sides

Tag by family, friends, coworkers, and side. Seat a whole group in one move, or keep two groups apart.

Divorced or separated parents

Give each parent their own table near the front. Auto-assign respects tables you have locked by hand. See the seating divorced parents guide.

RSVPs and meals in the same place

Track responses and meal choices, and export the meal count by table for the caterer.

Share with everyone who needs it

Your partner edits with you in real time. The planner, the venue and the caterer get a view link that always shows the current chart.

Print what the day needs

Escort cards, place cards, an alphabetical guest list, and a printable seating chart sign in your wedding's style from the sign templates.

Find your seat

Guests scan a QR code at the entrance and see their table on their phone. Last-minute swaps update instantly.

Where to start

How to organize a wedding seating chart

Start with the people who are fixed: the head or sweetheart table, parents, grandparents and anyone with an accessibility need near an exit or away from speakers. Then seat by group, not one guest at a time: college friends together, each family's cousins together, coworkers together.

Give every table at least a few people who already know each other, and put the loudest tables far from the oldest guests. Leave the last two or three seats at a few tables open until RSVPs close. For step-by-step help, read the wedding table assignment guide, the wedding seating chart etiquette guide and the head table seating guide.

Compared

PlanSeats vs the wedding suites

Zola and The Knot include a seating tool inside their planning suites; it works if your guest list, registry and website all live there, and it stops at the printed chart. Canva makes a beautiful sign but does not know who has RSVP'd. PlanSeats is only a seating chart maker, so it goes further on that one job: real floor plans, auto-assign, live sharing, meal counts by table, and a QR seat finder for the day.
